Your new Xero organization does not have to carry forward every old problem.

A Xero conversion can be an opportunity to agree what should carry forward and what should be simplified. Accounts can be combined, renamed or renumbered, and useful source information can sometimes be preserved as tracking instead of keeping an old account structure.

Each project still needs to be reviewed individually. Previous experience with a system does not mean every version, file or data set follows the same conversion path.

Some conversions are prepared and reviewed before the new Xero organization becomes the working file. In other projects, current work can begin first and older history can be added afterward as it is prepared.

    Show Swift what you have.

    Share the source system or available reports, what you need after the move to Xero, and what makes the conversion unusual. Swift can provide a private project file portal for sending source files, reports, backups and other conversion documents.

    Agree the scope.

    Confirm what will be moved and any cleanup, account changes, tracking or special handling that should happen during the conversion.

    Prepare the new Xero organization.

    Swift can prepare the agreed structure and starting information. Where appropriate, a cut-off date can be established so current work can begin before all historical data is finished.

    Import, review and reconcile.

    Bring in the agreed data, check the converted Xero organization and work through any review items.

    Complete the handover.

    Once the agreed conversion work is complete, the new Xero organization is ready to continue as the working file.

The exact sequence depends on the source, the amount of history, and whether the new Xero organization needs to be used before the full historical conversion is complete.
